Executive Operations Manager (Office of the Founder)

Hybrid | Alabang, Muntinlupa + Metro Manila

We are looking for an Executive Operations Manager to work closely with the Founder as a trusted second-in-command across multiple businesses, projects, and day-to-day operations.

This is a highly hands-on role that sits within the Office of the Founder rather than within one specific company. The successful candidate will support the Founder across different business ventures and will also occasionally work directly with the Corporate Secretary on administrative and operational requirements.

We're looking for someone who is exceptionally organized, resourceful, proactive, and comfortable moving between production management, executive support, administration, events, and on-the-ground execution.

This is a hybrid position. While some work may be done remotely, the role requires regular in-person work in Alabang, as well as travel throughout Metro Manila for production, suppliers, meetings, events, photoshoots, errands, and other business needs.

Due to the nature of the businesses, candidates must also have the flexibility to work occasional weekends when required, particularly around launches, events, photoshoots, production deadlines, and other time-sensitive projects.

Key Responsibilities

Production & Operations

  • Oversee production timelines across relevant businesses and ensure projects remain on schedule.

  • Manage and maintain strong relationships with manufacturers, suppliers, vendors, and external partners.

  • Regularly follow up with vendors and ensure deliverables, timelines, and requirements are met.

  • Build, maintain, and improve operational spreadsheets, reports, systems, and trackers.

  • Create, manage, and monitor production schedules using Gantt charts.

  • Coordinate supplier visits, pickups, deliveries, and other operational requirements throughout Metro Manila.

  • Identify operational bottlenecks and help implement more efficient processes.

  • Keep track of multiple ongoing projects, deadlines, and deliverables across different businesses.

Executive & Administrative Support

  • Work closely with the Founder and provide day-to-day operational and executive support.

  • Occasionally work directly with the Corporate Secretary on administrative, operational, and business-related requirements.

  • Assist with bookkeeping, record keeping, documentation, and general administrative tasks.

  • Help organize schedules, documents, trackers, and business requirements.

  • Coordinate meetings, appointments, and other logistical requirements when needed.

  • Handle occasional personal and executive errands.

  • Follow through on tasks independently and ensure nothing falls through the cracks.

  • Handle sensitive business and personal information with appropriate discretion and confidentiality.

Events, Photoshoots & Special Projects

  • Coordinate community events, brand activations, launches, and other business initiatives.

  • Assist in planning and executing photoshoots, including logistics, schedules, samples, and on-site support.

  • Prepare, organize, and track samples or materials for production, photoshoots, retail partners, and events.

  • Provide hands-on support during launches, events, and other key business periods.

  • Assist the Founder with special projects across different businesses as they arise.

Requirements

  • A college degree is not required. We value proven ability, work ethic, and relevant professional experience over formal education.

  • Relevant professional experience is a must. This is NOT an internship or an entry-level position.

  • A minimum of 2 years of experience in production management, operations management, project management, or a closely related role is required.

  • Proven experience managing vendor and supplier relationships.

  • Advanced proficiency in Microsoft Excel and/or Google Sheets, including formulas, functions, lookups, pivot tables, and data management.

  • Experience creating and managing Gantt charts, production schedules, and project timelines.

  • Excellent organizational skills and exceptional attention to detail.

  • A proactive, highly organized, Type A mindset.

  • Strong problem-solving skills and the ability to find solutions independently.

  • Ability to anticipate what needs to be done rather than waiting to be instructed on every task.

  • Ability to comfortably manage multiple businesses, projects, priorities, and shifting deadlines without losing track of details.

  • Strong written and verbal communication skills.

  • A collaborative, team-first attitude.

  • Fluency in both English and Filipino (Tagalog).

  • Must already own a reliable personal laptop with at least 8GB of RAM.

  • Must have a stable and reliable Wi-Fi/internet connection.

  • Willing and able to work in person in Alabang as required.

  • Willing to travel throughout Metro Manila for supplier visits, production oversight, meetings, events, photoshoots, executive support, and company errands.

  • Must have the flexibility to work occasional weekends when required by business needs.

Preferred Qualifications

  • Experience in fashion, consumer goods, manufacturing, or production is a strong advantage.

  • Experience with bookkeeping, documentation, or administrative finance.

  • Familiarity with Notion, Airtable, Shopify, or other operational and project-management software.

  • Previous experience working directly with founders, entrepreneurs, executives, or small growing teams.

  • Experience supporting multiple businesses or projects simultaneously.

Work Setup

This is a hybrid role under the Office of the Founder and is not limited to one specific business.

The role will involve a combination of remote work, in-person work in Alabang, and fieldwork throughout Metro Manila depending on the needs of the businesses.

This is not a strictly Monday–Friday desk-based position. Occasional weekend availability is required, particularly for events, launches, photoshoots, production deadlines, and other time-sensitive business activities.

3-Month Part-Time Probationary Period

The successful candidate will initially join on a 3-month part-time probationary period, with the intention of transitioning into a full-time position upon successful completion.

During this period, the candidate will work closely with the Founder and gradually take ownership of key responsibilities across the different businesses and projects.

The probationary period will allow both parties to assess overall fit, performance, reliability, communication, initiative, discretion, and the candidate's ability to independently manage the responsibilities of the role.

Upon successful completion of the probationary period, the candidate may transition into the full-time Executive Operations Manager position.
